This guide is from someone who has been in the trenches building print on demand shops while also running a blog, a membership, and trying to live an actual life.
Here is the thing nobody tells you when you first start your Etsy print on demand journey: Etsy is low-key hostile to sellers who want to scale. I know, I know.
That sounds dramatic. But hear me out. Because once you get past the honeymoon phase of uploading your first ten listings and watching those little hearts roll in, you start to realize something uncomfortable.
Etsy was not built for scale.
It was built for hobbyists. And while there is absolutely nothing wrong with being a hobbyist, if your goal is a freedom-first business that generates passive income from Etsy while you are sipping a caipirinha on a beach in Brazil or eating your way through a market in Oaxaca, then you need more than a hobby mindset.
You need systems. You need tools. And you need to get Vela yesterday.
I started building my first Etsy print on demand shop a few years ago, and at a certain point, it crossed into multi-six-figure territory.
And I will tell you with complete honesty that I am just now realizing that Vela can help me scale way beyond multi six figures.
Now, I have a research system and mockup system that I built over time. Once I figured out how to give those systems to a VA, stopped trying to do everything myself I started seeing the light (or should I say money) at the end of the tunnel.

Why Etsy Makes Scaling So Unnecessarily Hard
Let us just be honest about something first. Etsy has some real limitations when it comes to running a growing business, and the delegation problem is one of the biggest ones.
Unlike Shopify or even Faire, Etsy does not have a clean, built-in way to add team members or virtual assistants to your account.
There is no user role system. There is no permissions dashboard. There is no “invite a collaborator” button that lets your VA pop in and handle listing work without the risk of triggering Etsy’s fraud detection system.
And that fraud detection? It is no joke. If someone logs into your Etsy account from a different IP address or device, especially in a different country, Etsy can flag it, suspend it, or worse, shut it down entirely.
So you are in this maddening position where your shop is growing, your research is solid, you know exactly what products you want to list, but you are physically stuck doing every single listing by yourself.
Every. Single. One.
The title, the description, the tags, the attributes, the price, the shipping profile, the photos, the mockup video, the renewal settings, the category, the color variations, the occasion tags, the material fields. All of it. Over and over again. For every listing.
If that sounds exhausting, it is because it absolutely is. And it is especially brutal when you are a solopreneur, which, let us be real, describes most of the people running print on demand shops on Etsy.
And, 81% of them are also women. You are doing this while also holding down a job, raising kids, traveling, or managing other income streams (like I was).
You do not have eight free hours a day to sit there and manually build out listings one by one. Nobody does. And the idea that you should just grind it out alone is honestly one of the most damaging myths in the online business world.

How I Actually Use Vela in My Own Shops
Here is exactly how my workflow looks now, and yes, I am spilling all the tea because I want you to actually implement this, not just read it and feel inspired for twenty minutes before life gets in the way.
I start with research. I dig into keywords, look at demand data, and figure out what the market actually wants. I use tools like EHunt and eRank to validate demand before I ever touch a design.
My VA then goes into Etsy, confirms that demand is real and current, and builds me a grid of what products and niches are showing strong signals. That grid becomes my creative roadmap.
From there, I do the part I actually love: the design work. Creating, playing with ideas, building something beautiful and intentional. That creative energy is mine, and I protect it.
Once the designs are done, my VA takes them over to Printify, uploads them, configures the product, and then pushes them to my Etsy shop as drafts. I record a quick Loom video showing my VA exactly how I want things set up, and they follow that system every single time.
Once those draft listings are sitting in Etsy, my VA jumps into Vela. And this is where the magic happens. Inside the drafts folder in Vela, they can see every unpublished listing. They then go through each one and fill in all the details that make the difference between a listing that gets buried and one that actually shows up in search.
The tags, the attributes, the occasion and style fields, the color and material info, the category selections, the shipping profile, the renewal settings, the section it belongs in, and even the mockup photos and videos.
All of it. Done. Without me touching a single field.
When I am ready, I review and publish. Sometimes my VA publishes directly. Either way, I am spending maybe fifteen to twenty minutes of focused time on something that used to take me hours.

That means deciding what your VA is responsible for and documenting it clearly. It means recording Loom videos or creating written SOPs (standard operating procedures) so that the work gets done consistently, whether you are at your laptop or somewhere on a hiking trail in Patagonia.
It means having your keyword list ready, your design files organized, your Printify templates set up, and your mockup assets in a shared folder your VA can access.
It means thinking like a CEO instead of a one-woman assembly line.
I know that sounds like a lot. And if you are just starting out, it might feel premature to even be thinking about VAs and systems. But, the sooner you start thinking this way, the sooner you stop working in your business and start working on it.
Even if you cannot hire someone tomorrow, designing your processes as if you could means that when the revenue is there to support it, you can flip the switch almost immediately instead of spending weeks trying to figure out how to hand things off.
What to Delegate First When You Get Vela Set Up
When you are first setting up your Vela workflow with a VA, start with the most repetitive, formulaic tasks. The things that follow a clear pattern and do not require your creative judgment. Think about the listing attributes: color, material, occasion, category, dimensions, indoor or outdoor use, pattern type.
These fields are almost always filled in the same way for the same types of products, and once you document the rules once, your VA can apply them consistently across dozens of listings in a single session.
From there, you can hand off tag and keyword entry once you have done the research and provided a list. You can hand off price and shipping profile assignment once you have created the profiles and documented which product types use which profile.
You can hand off the renewal settings, the sections, the product partner information, all of the background infrastructure that makes a listing function properly on Etsy but does not require your creative brain to get right.
Eventually, as your VA gets familiar with your shop and your style, you can hand off more nuanced tasks like writing descriptions from a template or pulling mockup photos from a pre-approved folder.
The key is always documentation first. If you have not documented it, you cannot delegate it. Vela makes the delegation technically possible. Your systems make it actually work.

These are the only tools I use for my shop!
Canva: Canva is the most amazing tool. It is user friendly, and always improving! The tools that Canva has have evolved so much since I first started using it in 2022 for the better. I use it almost everyday. I use it to create designs, to edit AI designs, and to create product mockups.
Ideogram: Ideogram is an AI design tool that generates high-quality graphics with exceptionally accurate text rendering, making it ideal for creating quote-based and typography-focused designs. I also use the prompt based editing for mockups, making it a wonderful alternative to Photoshop, which is expensive.
E-Hunt: E-Hunt is fantastic for competitor research and some light keyword research. My favorite aspect of E-Hunt is the Chrome extension that allows you to see the sales amount for an individual item on Etsy. Check out this article to see an example.
eRank: eRank is an SEO data tool that also allows you to search the competition and will also give you key words for your Etsy listing. It is also a low cost tool that will help you find low competition and highly searched niches.
Printify: Printify is a print-on-demand (POD) service that allows individuals and businesses to create and sell custom-designed products without needing to manage inventory or handle fulfillment. I put my designs on products offered by Printify. When an item sells, Printify prints and ships to my customer.
Vela: Vela is the bulk editing tool I use to manage hundreds of Etsy and Shopify listings without losing my mind. You can update videos, photos, titles, tags, descriptions, and prices across your entire shop in minutes, and your VA can build listings inside Vela without needing your Etsy login. Shopify: Shopify is what I recommend when you are ready to scale beyond Etsy and diversify where your products sell. The fees are lower, you own your customer data (emails), and it integrates directly with Printify and Vela. It is the easiest way to build a standalone storefront that you control.
